The Archives Office of Universitas Indonesia (UI) in collaboration with the Indonesian Higher Education Archives Association (PAPTI) held a National Archives Seminar and Congress of the Indonesian Higher Education Archives Association 2023 with the theme “Implementation and Impact of Artificial Intelligence in the Field of Archives”. The seminar was held on Friday (03/11) at the Makara Art Center, UI Depok Campus.

This activity was opened by the UI University Secretary, dr. Agustin Kusumayati, M.Sc., Ph.D. together with the General Chair of PAPTI, Prof. Dr. H. Nandang Alamsah Deniarnoor, S.AP., S.H., M.Hum and Head of the UI Archives Office, Wahid Nurfiantara, S.Hum., M.T.I.

In her welcoming speech, the UI University Secretary, dr. Agustin Kusumayati, M.Sc., Ph.D. stated that the seminar theme was very appropriate and relevant to the impact of AI as a digital technology in this era. This shows an understanding of the importance of understanding technological developments, including artificial intelligence and their impact on work and the archival profession. She also saw that archiving activities often did not receive enough attention or appreciation. “There is a mistake when an organization cannot recognize the important role of its archives office and cannot utilize its archives office for the development of its institution,” said dr. Agustin. Therefore, she hoped that universities would not only strengthen their archives, but also their profession. Meanwhile, the General Chair of PAPTI, Prof. Dr. H. Nandang Alamsah hoped that this seminar can provide enlightenment regarding Digital Government where digital governance must move towards Artificial Intelligence (AI).

This activity presented the Head of the National Archives of the Republic of Indonesia for the 2004-2009 period, Dr. Drs. Djoko Utomo, M.A.; and 3 resource persons, namely, from the ITB Artificial Intelligence Center, Ir. Windy Gambetta, M.B.A.; Co-Director of Tokopedia-UI AI Center, Fariz Darari, Ph.D.; Multi Stakeholder Advisory Group of Indonesia Governance Forum, Yuan Oktafian.

In his presentation, Ir. Windy Gambetta explained that Artificial Intelligence (AI) is indeed a technology designed to give computers human intellectual abilities and indirectly, humans currently often use AI in various aspects of daily life. One example of the application of AI is Natural Language Processing (NLP) which allows AI to receive text, process the text and provide answers, which can be described as the work of an archivist.

AI does have many advantages, but the data provided by AI is not always perfect. AI will rely on existing data to provide appropriate answers or actions and the data provided may have limitations, bias, or errors. “Therefore, it is important to use AI wisely and critically and humans must continue to monitor and check the correctness and relevance of the information provided by AI,” said Windy.

Co-Director of Tokopedia AI Center, Fariz Darari, in his material conveyed ontology, namely a science that discusses the nature of existing truth. The use of AI is very relevant and has great potential to improve the quality of data use in the context of artificial intelligence. Ontologies can help provide meaning or context to the data. He feels that it will be much easier for AI to learn from data if this is implemented. The application of ontologies in AI is an important step towards more efficient and ethical use of AI technologies. “With this concept, we can produce smarter and more responsible AI systems, which respect and protect user data and provide greater value in various fields such as e-commerce, information search and other data processing,” said Fariz.

Furthermore, Yuan Oktavian explained that archives have a broad division of labor. “Information governance is an important thing, namely how to carry out information governance which includes cyber security, research management, data management, big data, including records,” said Yuan. He further said that AI is not always accurate, but what makes it accurate is the quality of the data itself, so that is where an archivist can play his role. The use of Artificial Intelligence (AI) technology can be utilized to increase efficiency and productivity in various fields. However, we still need to consider the impact and pay attention to privacy policies and applicable regulations to protect the misuse of this technology.
